The Project's General Ledger (GL) Walkthrough

In this video, I will walk you through the Project General Ledger. The GL shows every financial transaction posted to a project all in one place.

Think of the General Ledger as the project’s financial timeline. Every transaction—from payroll, expenses, petty cash payments, and fund receipts—eventually posts here. If it affects money, it shows up in the General Ledger.

Let’s break down what you see. Each row represents a journal entry line. The columns include Date, Contact, Reference, Description, Account, Debit, Credit, Cost Center, and Project.

At the bottom, you will see that the Total Debits and Total Credits always balance.

General Ledger entries are created automatically from the system’s activities. This includes Expenses, Payments, Payroll, Petty Cash Transactions, and Fund Receipts.

You can use filters like Date Range to view transactions for a specific period. You can also Search to find specific entry details.

Finally, you can Export the General Ledger to Excel or CSV. This is useful for external accountants or auditors who need to review the granular details of your project’s finances.
