How to Convert ETC to PO

In this video, I will show you how to convert an ETC (Estimate to Complete) into a Purchase Order (PO). This process helps you turn your forecast into real commitments while keeping your budget and cost reports accurate.

Converting an ETC to a PO is useful when a cost is no longer just an estimate—for example, when a vendor or crew member is confirmed. Instead of deleting the ETC and manually creating a new PO, you can simply convert it.

To start, open the Est to Complete menu. Select the specific ETC you want to convert.

Click the Create PO button associated with that ETC. This opens the PO creation form with the budget line, description, and amount already pre-filled from the ETC data.

You will need to select the Vendor or Crew Member since the original forecast might not have had one assigned yet. Verify the Description, Rate, and Quantity. Then click Save.

A new Purchase Order is created in a Pending status.

Most importantly, once this PO is approved, the system automatically removes the amount from the Est to Complete column in your Cost Report and moves it to the PO Commits column. This prevents double-counting the cost—you won’t have both an estimate and a commitment for the same item.

This feature allows you to move seamlessly from planning to execution while keeping your final cost projections stable.
