How to Create & Modify Overage

In this video, I will show you how to create, modify, and approve an Overage. Overages are used when a cost exceeds its original budget and needs to be formally tracked and approved.

To create an Overage, open the Overages menu and click Create Overage.

Enter a Description, such as ‘Vendor rate adjustment’. Next, select the specific Budget Code that is going over budget. Enter the Rate, Quantity, and any applicable tax details. Click Save to submit it.

The Overage is now in a Pending status. To finalize it, click the Approve button. You can add comments in the approval window if needed, then click Approve Overage. The status will change to Approved.

If you need to make changes, simply click the Edit button to modify the details.

Most importantly, Overages directly impact your Cost Report. If you navigate to the Cost Report, you will see the amount reflected in the Overages column for that specific budget line. This automatically updates the Final Budget column, which is the sum of the original Locked Budget plus any approved Overages. This gives you visibility into why a budget has changed.

Finally, you can Download the official Overage PDF by clicking the download icon on the list view.
